Archival Footage Question for Doc

Hi and thanks in advance for any advice. I am planning to shoot some interviews for a historical skiing project. I am wondering what others would suggest to do if my subject has photos that I can use for the project but I need to capture the image on location. Should I just shoot with my camera, does a portable scanner exist? What is the best way to acquire?

Secondly, I will be searching for archival photos and 8mm film from other's personal collections. The project will be edited in HD with FCP. Any suggestions on how to best transfer photos, newspaper clippings and 8mm footage for the project. How about in the case where the owner wants to keep the originals in their possession but is open to doing a transfer that I would finance to acquire the copy.

Finally, any suggestions on permission forms for usage of images from someone's personal photo's/8mm film.

Thanks so much. It would be great to hear anybody's personal experience with this situation or links to resources that address it.
